OFFICERS

The officers of the Chapter shall consist of a president, vice-president, membership chair, secretary, treasurer, and historian and shall be collectively known as the Executive Committee. The duties of the officers shall be such as are generally exercised by such officers in similar associations and such other duties as may be assigned to them respectively by the Executive Committee from time to time. The term of office shall be one year. Officer duties are described below:

PRESIDENT:

Serves as liaison to the UTEP Alumni Association Board

and the UTEP Alumni Relations Office
Insures adherence by the Chapter to its adopted Bylaws
Serves as an ex-officio member of all Chapter committees
Presides at all Chapter meetings
Assumes the general responsibility for the success of each activity and project the Chapter undertakes
Calls special meetings

VICE-PRESIDENT:

Performs the duties of the president in the absence or disability of the president
Works with the Chapter president to learn the duties of the office
Assists other officers and committees to learn Chapter operations
Performs all other duties deemed appropriate by the president
Act as the Parliamentarian during Chapter meetings

MEMBERSHIP CHAIR:

Works with the Alumni Association to recruit eligible new members
Maintains a list of active members of the Chapter
Maintains custody of the official Chapter alumni roster in conjunction with the UTEP Alumni Relations Office

SECRETARY:

Takes minutes of all Chapter meetings
Disseminates minutes to Chapter members
Sends notices of Chapter meetings and Chapter activities
Forwards completed reports of all meetings to the UTEP Alumni Relations Office
Maintains supplies such as Chapter letterhead, envelopes, name tags, etc.
Maintains Chapter correspondence

TREASURER:

Maintains Chapter funds
Makes payments for the Chapter
Keeps a record of all Chapter financial transactions
Submits quarterly and year-end reports to the UTEP Alumni Relations Office
Files tax return if necessary
Establishes a budget for the Chapter’s yearly activity to be approved by the Chapter Executive Committee

HISTORIAN:

Maintains an overview of all Chapter events and happenings of the Chapter by taking photos and keeping memorabilia
Develops and maintains a Chapter yearbook of activities which will be filed with the Alumni Relations Office.
